A POS from 2019. A bank they opened personally and never switched. A payroll service their accountant recommended five years ago. Receipts in a shoebox or, worse, a Gmail folder called “tax stuff.”

It works. Sort of. Until it doesn’t.

The right tech stack does two things. It saves you hours every week. And it gives you clean, real numbers you can actually make decisions from. Here’s the stack we recommend for our FEC clients, and why each piece earns its spot.

POS and scheduling: Bookeo or ROLLER

This is the foundation. Your POS captures every party booking, walk-in, ticket sale, and gift card redemption. If your POS data is messy, every report downstream is messy too.

We like ROLLER for larger FECs with multiple attractions, memberships, and party packages. It handles complexity well and the reporting is strong. Bookeo is a great fit for escape rooms, smaller venues, or single-attraction operations where you want a simpler, cleaner system.

Whichever you choose, the key is using one POS for everything. Splitting bookings across two systems creates reconciliation nightmares (matching your POS reports to your bank deposits).

Banking: Mercury or Relay

Stop using a traditional bank that charges you $15 a month and gives you one checking account. Mercury and Relay are both built for small businesses, both free, and both let you open multiple accounts inside one login.

Multiple accounts make it easy to separate operating expenses, payroll, taxes, and owner pay so you always know what cash is actually available to spend. Both also integrate cleanly with QuickBooks and your bill pay tools.

Bookkeeping: QuickBooks Online

We use QuickBooks Online with every client. It connects to almost everything (your bank, your POS, your bill pay tool, your payroll). It scales as you grow. And it’s the standard your CPA and your future buyer will both expect.

Skip QuickBooks Desktop. Skip Wave. Skip the spreadsheet your cousin set up. QBO is worth it.

Payroll: Gusto

Gusto handles payroll, tax filings, W-2s, 1099s, benefits, and time tracking. It syncs cleanly with QuickBooks. The interface is friendly enough that your team can self-onboard. And the pricing is fair for a small FEC team.

We’ve migrated clients off ADP, Paychex, and Patriot to Gusto and nobody has ever asked to go back.

Bill pay and expense cards: Ramp

Ramp gives you free corporate cards for you and your team, automated receipt capture, and bill pay all in one place. Cards photograph receipts automatically. Bills get coded and approved in a few clicks. Everything pushes to QuickBooks.

For a typical FEC spending $20K to $80K a month across vendors and team purchases, Ramp easily saves five to ten hours a month of admin time.

Gift cards and merch: Square

If you sell gift cards online, run a small merch shop, or take payments outside your main POS (pop-up events, food trucks, kiosks), Square is the cleanest add-on. It feeds into QuickBooks and keeps your gift card liability (money owed to customers who haven’t redeemed yet) tracked properly.

Email marketing: Mailchimp

Bookings don’t market themselves. Mailchimp is the simplest way to send party follow-ups, win back lapsed members, promote slow weeknights, and announce new attractions. It integrates with most POS systems and gives you basic automation without needing a marketing agency.

Client portal: Double (formerly Keeper)

This is how we work with you. Double is the portal we use to ask questions about transactions, share monthly reports, and keep everything organized in one place. No more “did you see my email” or “what was that $487 from May 12th.” Every question, every answer, every report lives in one searchable spot.

What this looks like in real numbers

Here’s a typical FEC client before and after we get the stack dialed in.

Before: Bank fees of $35/month. Payroll service charging $180/month. Owner spending six hours a week on bookkeeping, bill pay, and chasing receipts. Books closed 45 days after month-end. Real party margins unknown.

After: Bank fees of $0. Payroll at $80/month with Gusto. Ramp saves the owner four hours a week. Books closed by the 10th. Per-attraction profitability tracked monthly.

Hard savings of roughly $135/month. Soft savings of 16 owner hours per month, which at any reasonable hourly value is the real win.

The bigger picture

A tech stack isn’t about having the newest tools. It’s about having tools that talk to each other so your data is clean, your time is your own, and your numbers are trustworthy enough to act on.

If your current setup is held together with duct tape and you’re not sure where to start, that’s exactly the kind of cleanup we do every month for FEC owners. Schedule a free financial diagnostic and we’ll show you what your stack should look like.

Because when you Know Your Numbers, you have the freedom to create better experiences for your guests, and more freedom in your life as an owner. 🎯

Most FEC owners we meet are running their business on a patchwork of tools they picked up one at a time.
