Parking lot was full. Party rooms were booked. Arcade was loud.

“Felt busy” is not a number. And a packed Saturday can still lose money if the wrong things are eating your margin. The owners who actually grow are the ones who can rattle off a few key figures without opening a spreadsheet. Here are the five we wish every FEC owner knew cold.

1. Your revenue per attraction

Not total revenue. Revenue broken out by escape room versus laser tag versus arcade versus party packages.

Most owners track one big sales number and assume the busy attractions are the profitable ones. Often they are not. The escape room with the line out the door can earn less per hour than the quiet mini golf course once you account for reset labor (staff time spent resetting rooms between sessions). You cannot compare what you do not separate.

2. Your true party package margin

That $400 birthday package is your best seller. But what stays in the bank after pizza, prizes, the party host’s hourly wage, and the 3% the card processor takes?

We have seen “best-selling” packages come in under 15% margin once redemption COGS (the wholesale cost of the prizes kids win) and labor were counted honestly. The fix is usually a $30 to $50 price bump nobody notices. But you cannot make that call if you have never run the math.

3. Your labor cost as a percent of revenue

Payroll is the biggest controllable cost in almost every FEC, and the one owners feel rather than measure.

Track labor as a percentage of revenue, every month. When that number creeps up, it tells you something real: staff-to-guest ratios are off, you are scheduling for a crowd that is not coming, or reset labor is quietly bleeding you on slow days. A gut feeling that “we might be overstaffed” is not actionable. “Labor was 38% in March, up from 31%” is.

4. Your deferred revenue balance

Deferred revenue is money you have collected but not yet earned: prepaid party deposits, unredeemed gift cards, memberships paid up front.

It feels like cash because it is sitting in your account. It is not yours yet. Owners who do not track it spend deposits for parties they still have to staff and supply, then wonder why a fully booked month felt tight. Knowing this number keeps you from spending the same dollar twice.

5. Your monthly breakeven

The single most clarifying number on this list. What does the door have to bring in each month just to cover rent, payroll, game licensing fees, insurance, and everything else, before you earn a cent of profit?

Most owners have never calculated it. So they cannot tell a strong month from a lucky one, and they cannot answer the question that actually matters: are we ahead, or just busy?

What the math looks like in real life

Say your party package runs $400 and you sell five every Saturday. Feels like $2,000 of pure win.

Now count the rest: $70 in pizza and drinks, $45 in redemption COGS, a party host at $18 an hour for three hours ($54), and roughly $12 in card processing. That is $181 in direct cost per party. Your real margin is about $219, not $400. Across five parties that is $1,095 left to cover the rent, the lights, and you, not $2,000.

Same Saturday. Very different story. The owner who knows the second number prices and staffs like a business. The one who only sees the first is guessing.

Why most owners do not know even one of these

It is not laziness. It is that QuickBooks out of the box does not hand you any of these numbers. Everything lands in a few broad buckets, attractions are not separated, deferred revenue is mixed in with real sales, and nobody is pulling it into a monthly report you can actually read.

The numbers are knowable. They are just buried. Getting them out and in front of you, month after month, is the whole job.

If you cannot answer more than one or two of these off the top of your head, you are not behind, you are normal. But normal leaves money on the table. That is exactly the kind of clarity we build for FEC owners every month. Schedule a free financial diagnostic and we will show you which of your five numbers is costing you the most. 🔍

Because when you Know Your Numbers, you have the freedom to create better experiences for your guests, and more freedom in your life as an owner. 🎯

Ask most family entertainment center owners how the weekend went and they will tell you it felt busy.
